This Privacy Policy explains how Vital Bloom Concierge Medical Care collects and handles information through vitalbloomconcierge.com.

Important: This policy covers website and marketing information. Protected health information (“PHI”) created or received in the course of your care is governed by our separate Notice of Privacy Practices (HIPAA), which controls in the event of any conflict.

1. Information We Collect

Information you give us directly:

Name, email address, phone number, and mailing or service address
Appointment requests, service interests, and intake or inquiry details
Any health-related information you voluntarily include in a form or message
Payment or membership details (processed by our payment vendors, not stored on our servers)

Information collected automatically:

IP address, device and browser type, operating system
Pages viewed, referring URL, time on site, and general geographic region
Cookie and pixel data, including from analytics and advertising platforms

2. How We Use Information

To respond to inquiries and schedule, confirm, and follow up on appointments
To provide, coordinate, and bill for care
To send newsletters, wellness education, and promotional content where you have opted in
To improve Site performance, content, and patient experience
To measure the effectiveness of our advertising
To meet legal, regulatory, and professional recordkeeping obligations

We do not sell your personal information.

3. Advertising and Analytics

We use analytics and advertising tools that may place cookies or pixels on your device, including platforms operated by Meta (Facebook/Instagram), Google, and TikTok.

We configure these tools to avoid transmitting information that would identify you as a patient or as having a specific health condition. However, no configuration is perfect.

If you prefer not to be tracked, you may reject non-essential cookies (see our Cookie Policy) and use your browser or platform ad settings.

4. How We Share Information

We share limited information only with:

Service providers who support our operations — scheduling, payment processing, CRM and messaging, hosting, labs, pharmacies, and email delivery — each bound by contract and, where applicable, a HIPAA Business Associate Agreement
Other treating providers involved in your care, consistent with our Notice of Privacy Practices
Legal authorities, when required by law, subpoena, or valid regulatory request
A successor entity, in the event of a sale or reorganization of the practice

We never sell, rent, or trade your information, and we do not share health information with third parties for their own marketing purposes.

5. How We Protect Information

We use encrypted (SSL/TLS) connections, access controls, role-based permissions, and vendor due diligence to safeguard your information.

No system is completely secure, and we cannot guarantee absolute security of information transmitted over the internet.

6. Your Rights

Texas residents have rights under the Texas Data Privacy and Security Act (TDPSA), and residents of other states may have similar rights.

Subject to legal exceptions, you may request to:

Confirm whether we process your personal data and access it
Correct inaccuracies
Delete personal data you provided
Obtain a portable copy
Opt out of targeted advertising or the sale of personal data
Appeal a denied request

Note that medical records and PHI are subject to separate retention and access rules under HIPAA and Texas law, and cannot always be deleted on request.

7. Marketing Opt-Out

You may unsubscribe from marketing email using the link in any message, or reply STOP to any marketing text.

Essential care and billing communications will continue.

8. Children’s Privacy

The Site is intended for adults. We do not knowingly collect personal information from children under 13.

Clinical services are provided to adults 18 and older unless a specific arrangement with a parent or legal guardian has been made in advance.

If you believe a child has submitted information, contact us and we will delete it.

9. Do Not Track

Browsers may transmit “Do Not Track” signals.

There is no industry-standard response to these signals, and the Site does not currently respond to them.

You may still manage cookies as described in our Cookie Policy.

10. Changes

We may update this Privacy Policy.

The current version will always be posted here with its Effective Date.
